Client sharing links

Send clients a link; they act without an account

Send an invoice, a contract, a website to review or a beta program to people outside your organization. They open a personal link, with no account, and can view, comment, report or answer depending on what you sent.

Try it in RIO

Create your organization free, then invite your team.

What Client sharing links is

Some work needs people outside your organization to look at it and answer. Client links let them do that from an email, without signing up for RIO.

Each link is long and random, so it cannot be guessed. A link stops working when you turn it off or send a new one.

What it does

  • Invoices

    • The client sees the invoice with its line items, totals, balance due and status
    • Print / Save as PDF from the page
    • Your team sees whether each link was viewed and when it was last opened
    • Up to five more people in copy, each with the same link
  • Contracts

    • The client reads the contract text, its term, value and renewal, and downloads the document
    • They accept by typing their full name, or describe what should change
    • Their name, email address and the time are recorded with the contract
    • Contracts already in force are sent as a read-only copy
  • Website review

    • Personal links for up to 100 people outside your organization, as view only or able to comment
    • An optional public link that can be turned off or replaced
    • Guests comment on any text, image or section of the page, with their name
  • Beta testing

    • Clients get a link to the program and its reports
    • Clients add and remove their own testers, who each get a personal link
    • Testers report bugs and feedback and comment on reports
  • Control

    • Sending again makes a new link and stops the earlier one
    • Turn off a link at any time; it stops working at once
    • Shared pages are kept out of search engines

What you get

  • No sign-up friction

Clients act from the email without creating an account.

  • Answers on the record

Acceptances, change requests, comments and views are tied to the invoice, contract or review.

  • Access you can take back

Turn a link off or replace it the moment it should stop working.

How to use Client sharing links

  1. Step 1: Send an invoice

Open the invoice in Finance and click Send invoice. Check the address, add people in copy and a message, then click Send.

  2. Step 2: Send a contract

Open the contract and click Send to client. The client gets an email with a link to review it.

  3. Step 3: Share a website review

In Review, add people outside your organization as view only or able to comment, or turn on the public link.

  4. Step 4: Invite a beta client

In Beta testing, add the client’s name and email; they can then add their own testers.

  5. Step 5: Follow up

Check whether an invoice link was viewed, and watch for notifications when clients answer or comment.

  6. Step 6: Turn a link off

Click Turn off link beside a sent link, or send again to replace it.

Who it’s for

Teams that work with clients: finance, sales, agencies and product teams.

  • Get an invoice seen

Email the invoice; the client opens it, prints it or saves it as a PDF, and you see that they viewed it.

  • Get a contract accepted

The client reads the contract and accepts it by typing their name, or asks for changes.

  • Collect website feedback

Share a site under review; clients click on the page to leave comments.

  • Run a beta with a client

The client adds their own testers, who report bugs and feedback from their personal links.

Good to know

What Client sharing links does not do today.

  • Clients cannot pay an invoice online from the link.
  • Links do not expire on a date; they work until turned off or replaced.
  • Contracts are accepted by typing a name, not with a drawn signature.

No. Every client link works on its own, without signing in.

What happens to an old link when I send again?

It stops working. Only the newest link opens the invoice or contract.

How do I know the client opened it?

Invoices show Viewed or Not opened yet for each link, and your team is notified when a client opens an invoice or answers a contract.
