Terms of service
Last updated 2 November 2026
The rules for using RIO, written to be read. Please read them before you sign up.
1. Agreeing to these terms
These terms apply when you create a RIO account or use RIO. If you sign up for an organization, you confirm you may accept them on its behalf, and the organization (the customer) is bound by them.
2. Your account
- Give accurate details and keep them up to date.
- Keep your password private. You are responsible for what happens under your account.
- Organization admins decide who joins, what each person can do, and can remove access at any time.
- Tell us straight away if you think someone has used your account without permission.
3. Acceptable use
You must not use RIO to:
- break the law or the rights of others, including privacy and intellectual property rights;
- send spam or misleading messages, or publish unlawful or harmful content with Sites, Forms or other public pages;
- upload malware, probe or break RIO’s security, or reach data that is not yours;
- overload the service, or copy or resell it without our written agreement.
4. Your data
The data your organization puts into RIO stays yours. You give us permission to store and process it only to run, secure and support the service. The privacy policy explains how we handle personal data.
You are responsible for having the right to store the data you add, including your employees’ and customers’ details.
5. Plans and billing
- The Free plan has a user limit and a smaller set of apps. Paid plans are priced per user, as shown on the pricing page, and billed monthly or yearly in advance.
- You pay for each person in your organization. When people join, the next bill reflects the new count.
- Paid plans renew automatically at the end of each billing period until you cancel. Cancelling stops the next renewal; you keep the plan until the period ends.
- Prices exclude taxes such as GST, which are added where they apply.
- Payments for a period already started are not refunded, except where the law requires or we agree otherwise.
- If a payment fails we may limit the organization to the Free plan until it is paid.
- We may change prices; we will tell account owners at least 30 days before a change affects them.
6. Availability and changes
We work to keep RIO available and to fix problems quickly, but we do not promise it will never be interrupted. We may improve, change or retire features; when a change takes away something important to you, we will tell you in advance where we reasonably can.
7. Suspension and closing an account
You can stop using RIO at any time. We may suspend or close an account that breaks these terms, puts others at risk, or has unpaid fees, and we will tell you why unless the law or safety prevents it.
Before an account is closed you can export your data. After it is closed we delete the data as the privacy policy describes.
8. Liability
RIO is provided as it is. As far as the law allows, we are not liable for indirect losses, such as lost profits or lost data you could have exported, and our total liability for any claim is limited to the fees the customer paid us in the 12 months before the claim. Nothing in these terms limits liability that cannot be limited by law.
Payroll, tax and accounting figures that RIO calculates are tools to help you; check them before you rely on them. You remain responsible for your filings and payments.
9. Law and disputes
These terms are governed by the laws of India. We will first try to settle any disagreement by talking to you; if that fails, the courts of India have jurisdiction.
10. Changes to these terms
When we change these terms we update the date at the top. For changes that matter, we tell account owners inside RIO at least 30 days before they take effect. Continuing to use RIO after that means you accept them.
